1. Data controller

2. Scope of the data processed

We may process:

data provided in the contact form: first and last name, e-mail address, optionally a phone number and the content of the message;

data related to the order and the translation, including data contained in documents sent by post, by e-mail or, in the future, via the order portal;

data contained in identity documents and other official documents, where necessary to perform a sworn translation.

3. Purposes and legal bases for processing

taking steps prior to entering into a contract, and concluding and performing a contract for the service — Article 6(1)(b) GDPR (that is: so that we can prepare an offer and carry out the ordered translation);

fulfilling legal obligations, including the obligations of a sworn translator and tax and accounting obligations — Article 6(1)(c) GDPR (that is: because the law requires it of us, e.g. the rules on sworn translators and on taxes);

contacting the Client, pursuing or defending claims, ensuring the security of the services and documenting settlements as the legitimate interests of the Controller — Article 6(1)(f) GDPR (that is: so that we can contact you and defend our rights should the need arise);

purposes requiring voluntary consent, if such consent is given — Article 6(1)(a) GDPR (that is: only when you agree to it yourself).

4. Recipients of the data

Data may be shared with sworn translators and cooperating translators, payment operators, entities providing postal or courier services, and providers of IT, hosting and e-mail services — solely to the extent necessary to achieve the given purpose. The list of categories of recipients may be expanded as the services develop; this policy will then be updated accordingly.

5. Retention period

We keep data relating to enquiries for as long as needed to respond and to establish, pursue or defend claims. Data related to the order and settlements, and documents kept after the order is completed, are retained for the period required by law, including the rules on archiving a sworn translator's records, tax regulations and the limitation periods for claims (that is: the time after which a given matter can no longer be pursued before a court). Data processed on the basis of consent is kept until the consent is withdrawn or the purpose of processing ceases earlier.

6. Rights of data subjects

Under the terms set out in the GDPR, you have the right to access your data, to rectify, erase or restrict its processing, to data portability, to object, and to withdraw consent at any time without affecting the lawfulness of processing carried out before withdrawal.

Anyone who believes their data is being processed unlawfully has the right to lodge a complaint with the President of the Personal Data Protection Office. The rules of processing follow from the GDPR and the Polish Act of 10 May 2018 on the Protection of Personal Data.

7. Automated decision-making

The data is not used for automated decision-making, including profiling.

8. Transfers of data outside the EEA

At present we do not envisage transferring data outside the European Economic Area. If, in the future, we entrust data to a provider outside the EEA, we will apply the required safeguards provided for in Article 44 et seq. of the GDPR and inform you of this in an updated policy.

9. Cookies

The website currently uses only cookies necessary for its correct and secure operation. If analytics, marketing or other non-essential tools are added, this section will be supplemented and the required consents will be collected before they are activated.

10. Changes to the policy

The policy may be updated if the way the services are provided, the providers used or the applicable law change. The current version will be published on this page together with the date of the last update.
